Digital support for Microsoft and ClickUp

For Alfer Constructionswe carried out a detailed audit of the use of the Microsoft 365 suite in order to optimize the tools for the company's various departments.


Microsoft 365 audit

  1. Needs Analysis: We conducted an in-depth audit of Microsoft 365 usage within the company's various departments, including sales, project management, administrative assistants, human resources and executive levels. The main focus was on the use of Outlook, calendar and tasks.

For their weekly management meetings, we then introduced ClickUp. We started with a thorough audit of the current meeting format to identify redundancies and bottlenecks.


We then created a specific document template to structure the meetings. This template includes a list with dedicated views for each phase: meeting preparation, discussion, validation or rejection, and communication. To streamline meetings, we divided preparation into three distinct stages and halved the duration of meetings. We also clarified the agenda and discussion points to ensure greater focus and efficiency.


The implementation of a standardized validation and communication system enabled decisions to be managed more fluidly. At the same time, we facilitated the transition to other ClickUp departments for project activation, ensuring smooth integration and continuity in task management.

For their Human Resources, we quickly realized that they needed a complete overhaul of their processes to gain efficiency. Without any dedicated tools, recruitment and employee management were carried out in a disorganized way, slowing down work and creating bottlenecks.


Our intervention began with the implementation of a complete HR solution via ClickUp. We created a customized recruitment form, which standardized the steps in the recruitment process, ensuring that each new hire followed a clear and structured path. This approach not only accelerated recruitment, but also centralized all information in one place, giving the HR team easy access to applicant files, employee records and machine licenses.


By automating email communication, we lightened the team's workload, reducing repetitive manual tasks. At the same time, we implemented an employee directory and license management system, ensuring ongoing compliance.


For recurring meetings, we introduced document templates, facilitating preparation and ensuring a consistent structure at every meeting. What's more, the integration of a suggestion box, accessible via ClickUp, encouraged active employee participation, while enabling effective monitoring of behavior thanks to automatic reminders.


The results have been immediate and tangible: the recruitment process has become faster, all crucial information is now centralized and easily accessible, and team collaboration has intensified. Standardized on-boarding has ensured a consistent, positive experience for every new recruit, while automated management has strengthened the relationship between employees and the tools they use on a daily basis.


Ultimately, thanks to this digital transformation, we have enabled Alfer Constructions not only to improve its internal processes, but also to create a more harmonious and productive working environment, where every team member feels supported and involved.
